Location: 640 Cumberland Street, Ōtepoti
Employment and hours: Permanent Monday – Friday | 20 hours per week (*additional 10 hours available for suitable applicants)
Remuneration: Mid-High Scale D on OUSA Salary Scales

About the Role:
We are seeking an experienced Executive Assistant who will proactively provide administrative support to the CEO of OUSA.
 
Key responsibilities include:
• Managing all levels of administrative tasks for the CEO
• Contribute and assist with ongoing projects, including drafting and preparing high-level documentation
• Communicate internally and externally on the CEO’s behalf
• Pre-empting CEO needs and ensuring all tasks are completed to a high standard
 
*Additional 10 hours:
For Executive Assistants who have experience working closely with boards, we have additional hours available. Additional responsibilities and essential requirements are:
• Minute taking and preparation of agendas for board meetings
• Manage and maintain all board documents as required by the CEO and Board chair
• Coordinate meetings, including venue and date bookings
• Proficient use of Board Pro (or similar) for taking and finalising minutes
 
Skills and Experience:
• Exceptional communication and time management skills
• At least 3 years’ experience in an administrative support role
• High level of organisation and proactive with workflow
• Ability to create documents to a high standard and work effectively with limited guidance
