MINUTES OF THE OUSA EXECUTIVE MEETING HELD IN THE BOARDROOM OF THE OTAGO UNIVERSITY STUDENTS’ ASSOCIATION ON TUESDAY 31 MAY 2011 AT 5.20PM

MATTERS ARISING
Blues and Golds Budget – The Finance and Services Officer said the $6,500 is in the generalised Events budget. Dan insisted after talking with them it will appear ‘over’ in their budget at the end of the year.

Some expressed concern at this not being sorted thoroughly.

It was suggested that Dan Stride follow this up further as it wasn’t clear.

EXECUTIVE JOB DESCRIPTION POLICY
Dan Stride wished to express to the meeting his displeasure at the FSO position being removed from Senate and felt he was removed from other committees unwillingly as well, earlier in the year.

As attached, VSA were seeking nominations for a VSA President and Council. It was noted this was for a three year term. No-one interested from the Executive.

ROTARY CLUB OF DUNEDIN FUNDING REQUEST
The balance of the Community Grants Line is $350. Some thought we would need to keep funds for other requests throughout the year.

CHINESE STUDENTS ASSOCATION DEFUNCT CLUB FUNDS
As the attached memo states this club has been re-established and under the affiliation policy is entitled to the $2517.01 left over from its previous incarnation.



Concern was expressed by Sarah as she is the Recreation representation on the Executive and she had no knowledge of this. She requested that there be more consultation in future. Dan Stride said he had carbon copied (cc) her into the email discussing this. He had been in discussion with the club involved.

Are the defunct clubs funds accounts audited? Could this be investigated in the future?

At a previous Executive Meeting it was agreed that Des Smith could be appointed as an external person on the Grants Committee but he wasn’t formally appointed.

ACTING PRESIDENT’S HONORARIUM
Bradley emphasized he wasn’t comfortable discussing this. He has been working longer hours covering the extra work but didn’t expect to be paid extra. However, it was suggested that he should be paid for the extra hours he is working.

There hasn’t been a precedent set for this as it is the first time since the 1980’s there has been a Presidential By Election.

It was agreed that this could be discussed at reporting time when the second quarter reports are being considered at the end of June.

WELLINGTON MEDICAL STUDENTS ASSOCIATION
Dan Stride said they have contacted the President about their levies but it wasn’t passed onto him. He is now going to follow this up and get their funding sorted out, along with the other satellite campuses.

GENERAL BUSINESS
NZUSA Conference – Brad said the organizing of the conference in Wellington on 6 – 8 July in underway. Who would like to attend? He suggests it is expensive to fly there and would suggest we keep numbers down. Art has been trying to set up a position for an International Support person and would to attend the conference to follow this up.

Polling Booth for Referenda voting at the Colleges – Francisco has a roster could the executive please sign up to attend these in the evenings.

Polling totals – this afternoon there were 1120 votes for the Referenda.
