MINUTES OF THE OUSA EXECUTIVE MEETING HELD IN THE BOARDROOM OF THE OTAGO UNIVERSITY STUDENTS' ASSOCIATION ON TUESDAY 16 AUGUST 2011 AT 5.18PM

MATTERS ARISING
Mojos - Debbie Coulter hasn't heard back from the Archeologist yet.

KIDS FOUNDATION FUNDING APPLICATION
Thomas said he had received verbal agreement from most of the Post Graduate Committee to donate $300 from their budget. The next meeting of the Committee isn't for a couple of weeks which would be too late for the kids event.

SERVER EXPENDITURE
Matt had circulated a document explaining the state of the existing server and the cost of fixing it. He is recommending it would be more cost effective if a new server was purchased and the old one used as a back up.

388/11 THAT Donna Jones be granted speaking rights for the duration of this meeting.

Donna expressed concern about the contents of the freebox sitting outside during the evenings and being strewn around the Archway. She also asked who would supervise the items.

Francisco gave a guarantee it would be managed by himself and the Environmental Committee. Fran said he would store the gear in the evenings. He said they were keen to see this work. He said other University's have it working well.

The OUSA reception staff expressed concern on how this would be managed also.

CONSCIENTIOUS OBJECTION
The Membership Committee met to consider James Rawiri Meagers' application for an exemption of OUSA fees on the grounds of conscience. His request was granted and he has been notified.

He requested his fees go to the Sophie Elliott Trust; however some of the Executive wish to consider the 2011-2012 OUSA Capping Charity which is the Canterbury Earthquake fund. A decision will be made later.

GENERAL BUSINESS
VSM Debate - Sarah will follow up with AJ about setting up coverage of this debate.

National Be Rational Protest - Sarah Van Ballekom had already organised a pre-meeting to allocate tasks and wants to check that everyone on deck to help? The BBQ is from 11.30am-1.30pm, Thomas, Art, Dan and Sarah's friend Willy will assist. Shonelle and Katie will help with the stocks etc. Brad is picking up the bread and cream. Dan and Thomas have the sausages etc ordered.

August 27 Graduation Parade - Shonelle and Katie will sit on the stage. Fran offered to carry a banner.
