MINUTES OF THE EXECUTIVE COMMITTEE MEETING HELD IN THE EXECUTIVE OFFICE BULL-PEN ON TUESDAY 28 MAY 2024 AT 3.31PM

UNIVERSITY OTAGO PACIFIC ISLAND STUDENTS’ ASSOCIATION UPDATE

            Celebrating Samoan Language Week – 26 May – 1 June, lots planned

            Attended the graduation parade.

            Cook Island Students Assn – nearly fully up and running.

            Study nights and workshops happening.

            Grant applications in this week

            A big awards night is being held in the Town Hall.

APPOINTMENT TO POLICY COMMITTEE

201/24 THAT Abby Clayton be appointed to the Policy Committee (PolCom) for 2024.

SUBMISSION – UNIVERSITY ADVISORY GROUP (UAG)

The University Advisory Group has been established to provide the government with advice on New Zealand’s university system.

UAG are calling for public submissions for consultation phase 1, closing 31 May.

There has been online discussions and information sharing with the Executive.  The final document will be circulated to the executive.

ADVISORY BOARD UPDATE REPORT

As attached, a very informative document outlining activities, workplans and training options for the executive. Feedback requested:

Hanna in at 3.53pm

The executive will invite the Advisory Board to an executive meeting next semester.

How can the executive best engage with the Board?

Important for the executive to utilise the Advisory Board skills.

Important to know they are a very good sounding board for the executive.

Ibuki and Tara returned at 3.57pm

Interested in the session suggested - Ōtepoti – an overview of the wider community and how OUSA fits into this? Also, working with staff, how staff and executive work together sessions be held.

It would be a good idea for the Advisory Board to ensure the outgoing executive meet the incoming executive each year for a more thorough handover.

INITIATIONS CAMPAIGN

It was agreed this should be a student lead campaign. The Executive have some fun ideas to promote safer initiations to try and avoid students being harmful or even dangerous in their initiations. Ideas will be shared with Marketing and Communications to promote. How about wearing a bunch of cans around like the ‘just married’ on wedding cars.  Carry a piece fruit around for a week and each time you lose one you have to carry more and more. Perhaps a fun eating competition.

The executive will get ideas together and include Critic staff. The executive could demonstrate an initiation on tik tok. 

OUSA MEMBERSHIP CONTACT DETAILS

Keegan wishes to investigate getting our members contact details for promotional purposes.  The Secretary pointed out there are privacy issues with this.  The new Charities Commission changes will require OUSA to update the register with each name of members, does this mean direct access or as we have now special access via Evision and the Director of Student Services. Keegan to follow up with the Vice Chancellor.

GENERAL BUSINESS

Meet and Greet with Radio One, Critic and staff.  Donna will set up a time with the Radio One Manager for the executive to meet all staff and have a look through the Radio station.

All executive encouraged to take care of themselves over this period.  Exams are stressful and it is coming into winter.

Submissions – It was agreed the above submission will be emailed to the executive for final approval and presented to an executive meeting. Keegan to lead.

204/24 THAT OUSA Executive agree to submit on the Local Government Amendment Bill submission repealing Māori Wards as approved sent via email.
