MINUTES OF THE EXECUTIVE COMMITTEE MEETING HELD IN THE EXECUTIVE BULL-PEN OFFICE AND VIA ZOOM ON MONDAY 7 SEPTEMBER 2026 AT 9.35AM          

 

PRESENT

          Daniel Leamy (Chair), Kamesha Jones, Troy Gibbons, Rihanna Warsame (zoom),           Ella Sangster, Zoe Eckhoff, Irfaan Ariffin (zoom), Hansini Wijekoon and Fergus Parks

352/26 THAT Debbie Downs, Donna Jones, Harry Almey and Leda Norris be granted      speaking rights for the duration of this meeting.

GUEST: LEDA NORRIS

          Leda addressed the meeting to inform the executive how well the student voice, class      reps and faculty reps’ systems were going. There are 1200 student reps and 13     faculty reps signed up now, including queer and disabilities reps. It is excellent             having many students involved as class reps etc.

          Fergus arrived at 9.40am

          Kamesha arrived at 9.42am

           

EXECUTIVE QUICK ROUND UP

          A around the table catch up.  Thing were a bit slow owing to most of the executive            being on holiday last week.

          Irfaan’s connection dropped out at 9.58am

353/26 THAT Te Ao o Rongomaraeroa Student Association be affiliated to OUSA.

DCC LOCAL BODY ALCOHOL POLICY

            As attached. It was expressed the process has been vague. The Executive decided         not to support it as it doesn’t address meaningful alcohol harm. There will be an email    chain set up with Troy, Ella, Daniel and Kamesha in conjunction with Debbie Downs.  

            Feedback will be sought from Ella and Jamie from the Clubs and Societies Centre.             Stakeholders will also be contacted.

CONSULTATION DOCUMENT ON PROPOSED EXECUTIVE ROLE CHANGES

            Attached is the full explanation of role change proposal to be considered at the SGM.      There are flyers to be distributed around campus to encourage attendance at the      Student General Meeting.  Any feedback to Daniel and Kamesha.

ELECTION POLICY AMENDMENT

            Clause 15 to be added to this policy as it was included in the now rescinded          employment policy.  Owing to the tight time frame for this to be approved before             the       up-and-coming executive elections it will bypass the PolCom meeting and come            directly to executive.

15.  Conflict of interest

Any staff member who is an OUSA member is entitled to run for office in OUSA, but upon taking office, they must resign their employment with OUSA, except where the office attained is that of Chair of the SGM. Executive members cannot also be employees of the Association.

MARKET DAY STALL

            Can we have a roster of who will be assisting at the final Market Day stall on 16    September. Set up and set down times to be included.

            Irfaan, Zoe, Rihanna, Fergus and Hansini offered to help.

            Please be reminded the importance of everyone turning up and helping on            Wednesday.

FUNDING APPLICATION FOR CRITIC TE AROHI

            This is to assist upgrade the Critic Te Arohi website.

355/26 THAT OUSA approves an application to Dunedin Casino Charitable Community Trust      for funding up to $7,500 to support the redevelopment of the Critic Te Ārohi website   and authorises the completion of and submission of all assocated application documents by Elizabeth Leach-Young.

            OUSA has announced that the University Book Shop (UBS) has been sold to John           Brenssell.  Mr Brenssell is a well-known figure in the local bookselling industry and     currently owns Paper Plus in the Golden Centre. OUSA is still working on plans to     open the on-campus textbook store. OUSA has kept the company and sold the            bookshop business. The company name has now been changed to ‘OUSA Retail   Limited’.

            A big thank you to Debbie Downs for her hard work with the sale of the bookshop.

            Affiliated Clubs Council meeting – September 24.

          Executive third quarter reports – these are due 14 September at 1pm.
