MINUTES OF THE OUSA EXECUTIVE MEETING HELD IN THE MAIN COMMON ROOM, UNIVERSITY UNION BUILDING, CUMBERLAND STREET, DUNEDIN ON MONDAY 14 SEPTEMBER 2015 AT 5.01PM

MATTERS ARISING
Referendum – a further six questions have been submitted and sent to the Mediator for checking. Hopefully we can get them on the next executive agenda.
Festival for the future – Jonathan Martin addressed the meeting to give feedback about the festival he attended representing OUSA – He found it inspiring - putting social purpose before profit. He stated this was good for the community.
He learned of software OUSA could investigate to help with events as an on-line tool and other free software that would be good for our clubs and societies.
OUSA exec to consult with Start Up and other organisations on how we can improve our investments. The exec will also work with Centre of Innovation and Ignite on ideas.
PRESIDENTS BUSINESS
NZUSA – different ideas will be taken to the conference.
2016 Budget – the entire executive to get involved in this budget process. Two weeks after the elections the executive will be intending to finalise this process.
OUSA Survey – it was requested for the raw data to be sent to the executive in full. Consultation with student groups.
STUDENT NUMBERS FOR SECOND SEMESTER
The Secretary noted she had received notification from the university the following
“Heads by campus as at 5 Sept and excludes Foundation Studies. Students will be counted more than once if they are enrolled at multiple campuses”.

CEO REPORT
Debbie was asked if she wished to report. Staff are still working on replacing a Health and Safety Representative. Also there is going to be a consultant involved next year to assist with OUSA’s overall health and safety new legislative requirements.

Elections guidelines for staff – the staff have been informed not to endorse candidates running in the elections including on private facebook pages etc.
Beer and Food Festival – there has been a branded vehicle supplied for the Events Manager to use as advertising.

GENERAL BUSINESS
Third quarter executive reports – please note they are due at 1pm on 24 September 2015 with the Secretary.
DCC/OPSA neighbourhood project – Payal’s project with the aim of making flatting better for students. Similar to but broader than the Eco My Flat initiative run in Christchurch through UC
Art Society – Taotao has a roster to visit colleges please sign up
Flat Packs – Nick has ordered goods and is waiting for despatch.
Pizza Nights – Isaac has organised these evenings over the exam period
Exam Packs – Zac and Isaac have these under control
Bottle Buy Back – The Proctors office has kindly offered to donate $750 for the next one. Advertising and arrangements all underway.
