MINUTES OF THE EXECUTIVE COMMITTEE MEETING HELD IN THE EXECUTIVE OFFICE BULL-PEN AND VIA ZOOM ON FRIDAY 11 AUGUST 2023 AT 10:05AM

OUSA UPDATES
Tertiary Education Union – TEU/OUSA collective employment negotiations going well. There should be a decision made within the next 2 weeks.
Craft Beer and Food Festival – tickets are continuing to sell well.
Strategic Plan – working on phase two - Management and Operations are compiling their ideas for insertion into the current Exec plan. A draft should come to the executive soon.
TE RŌPŪ MĀORI UPDATES
Planning for Annual General Meeting
All of Te Rōpū Māori Te Rito have been busy with many events recently.
TRM held a Te Rito report meeting for tauira to ask questions about their reports and the mahi they have been doing.
Working towards the national meeting being scheduled for September.
The Advisory Board have been helping TRM with governance and succession training. Very helpful!
UNIVERSITY OTAGO PACIFIC ISLAND STUDENTS’ ASSOCIATION UPDATE
There is a second round of merchandise sales happening.
There is to be a launch of the new website.
A Pacifica Week is being planned next month.
There is a farewell function being organised for former Vice Chancellor David Murdoch.
FINANCE OFFICERS’ UPDATE
As emailed. This report is to keep the executive informed of the finances. Emily will produce this fortnightly or monthly from now on.
OTAGO UNIVERSITY SWIM CLUB AFFILIATION
There are a couple of minor adjustments needed on their constitution but not enough to hold up the affiliation. Emily Bull will notify them.

246/23 THAT the Otago University Swim Club be affiliated to OUSA provided the minor adjustments to their constitution are made.

STUDENT VOICE HUI
As attached. This is an important hui for all to attend. The senior university leadership team are attending. It is a good time to discuss student issues. Quintin is sending out a ‘when2meet’ so please fill out your availability.
REFERENDUM QUESTIONS REQUEST FROM STUDENTS
Discussion on questions from our students for this referendum need to be requested as soon as possible. The advertising will need to be requested asap.

SUBMISSION ON UNESCO GLOBAL CONVENTION
As attached. OUSA has written a submission in favour, believing this Convention is of utmost significance in facilitating international cooperation and promoting equitable access to high education opportunities worldwide. 22 countries are taking part in the convention.

GENERAL BUSINESS
Vice Chancellor position selection elements meeting – this is a very good invitation for students to be part of this process so please try and be available and fill out the doodle poll.
Drop-in sessions – Imogen is keen to hold sessions for students especially in light of the university staff cuts causing people to be stressed.
Management change submission – Quintin is creating a submissions template. Mia and Quintin working on how this will be circulated. More later.
Thursdays in Evison Lounge – last evening was the Open Mic Night and it was very successful. Next week is a quiz. All encouraged to get involved.
Cultural Representative on Executive – there has been proposal written and some of the executive on working on this idea. A work in progress.
Postgrad Society – a meat raffle is being held, please support.
Garage Project gift – Garage Project is a small brewery based in Aro Valley, Wellington and they kindly sent a box of non-alcoholic beers to the President for all to enjoy. Appreciation was expressed.
