OUSA Recreation Programme Terms and Conditions

       General Terms of Centre Use

  • All participants are expected to respect one another and uphold the values of OUSA. Disruptive or inappropriate behaviour will not be tolerated.
  • Participants must not engage in actions that jeopardize the health and safety of others. Any hazards, incidents, or unsafe conditions should be reported immediately to the reception desk.
  • Anyone found to be intoxicated, engaging in threatening behaviour, or failing to follow staff instructions may be asked to leave without a refund and may be subject to further action.
  • Parking is not provided for patrons. Participants must make their own arrangements for transport.
  • In the event of a fire or evacuation, follow staff instructions and exit the centre promptly using the designated emergency routes.

 

         Participation:

  • Participants are responsible for assessing whether an activity is suitable for them. If you require assistance in making this determination, please contact the Recreation Programme Coordinator before registering. While we strive to provide accessible options, participation is at your own risk, and OUSA is not liable for injuries unless caused by negligence
  • Unless otherwise stated, people aged 16 and older can sign up, regardless of being a University of Otago or Otago Polytechnic student. Non-students may have different pricing, and identification may be required. This will be stated upon booking.
  • Registrations for each activity are accepted on a first-come, first-served basis until capacity is reached. If an activity is unintentionally overbooked due to simultaneous registrations, OUSA will offer affected participants the choice of transferring to another activity (subject to availability), or receiving a full refund.
  • Full payment is due upon booking, there are absolutely no holds on spots.
  • By participating in any activity offered through the OUSA Recreation Programme, you acknowledge and accept that all activities carry inherent risks. While OUSA and its staff take reasonable precautions to ensure safety, participation is at your own risk. OUSA, its employees, and contractors shall not be liable for any injury, loss, or damage sustained during participation unless caused by negligence on the part of OUSA. Participants are responsible for assessing their own physical capabilities and seeking medical advice if necessary before engaging in any activity.

 

         Cancellation/Changes/Refunds:

  • Our recreation programme relies on achieving minimum participation numbers for each activity. If the minimum number is not met, activities may be cancelled.
  • OUSA reserves the right to alter or cancel an activity. While OUSA will make every effort to avoid this, in such cases where OUSA cancels, OUSA will contact participants as soon as possible using the provided contact details.
  • In the case that OUSA cancels an activity, OUSA may offer either a full or partial refund, transfer to another activity, or provide an alternate session.
  • Refunds are awarded at the discretion of the Recreation Programme Coordinator or OUSA Management and will not be issued for personal reasons, scheduling conflicts or change of heart. Refunds may be offered for medical reasons if documentation is supplied.
  • Refunds, where applicable, will be processed either in person at the Centre via EFTPOS or via bank transfer upon request. Proof of identity is required for all refunds. Refund requests must be submitted 72 hours before the commencement of the activity, and refunds must be processed before the end of the relevant academic year.
  • Refunds will not be granted if a participant is removed from an activity or the premises due to misconduct, intoxication, or failure to follow staff instructions.

 

Talent Release:

  • By participating in the Recreation Programme, you consent to OUSA capturing and using photos/videos for promotional purposes. If you do not wish to appear in promotional materials, you must opt out by contacting the Recreation Programme Coordinator at rpc@ousa.org.nz.
  • This waiver applies only to future content and does not affect materials already published. If you wish to request removal of an image, OUSA will consider such requests in good faith but cannot guarantee removal.
